Commercial cleaning proposal template: make the scope and price clear
A cleaning proposal should let the buyer compare the service you priced with the service they expect. Use this outline for offices and other commercial spaces when you need to turn a walkthrough into a clear scope of work and recurring price.
What a commercial cleaning proposal includes
Keep the site details, cleaning tasks and price together. The square footage helps estimate work, but it does not replace a walkthrough: washrooms, occupancy, floor finishes and access can change the time a job takes.
- Client and site: business name, contact, address and proposal date.
- Areas: room or area names, approximate size and the surfaces you will clean.
- Task frequency: which tasks happen each visit, weekly or monthly.
- Access and schedule: working days, arrival window, keys and alarm arrangements.
- Scope boundaries: supplies, consumables and special services included or excluded.
- Price and next step: recurring price, separately priced extras, payment terms and acceptance details.

Example: separate routine work from extras
An illustrative office proposal might include emptying bins and vacuuming on each service visit, while interior window cleaning is quoted separately. Put that distinction in the scope instead of expecting the client to infer it from a monthly total. Use the same area names in the proposal and crew checklist so the accepted work is easy to hand over.
Estimate labor before choosing the price

Review before sending
Check that the scope, service days and pricing describe the same job. Explain who provides consumables and how requests outside the agreed scope will be priced. Remove tasks that do not apply to the site. After acceptance, keep a copy of the scope for the crew and agree changes with the client before doing extra work.
