Questions

What is a toolbox talk?

A short safety meeting on one topic, usually at the start of a shift or the start of the week, before the work begins. Someone reads or explains the topic, the crew talks about how it applies to the job in front of them, and everyone signs in to show they attended. They are also called tailgate meetings or safety huddles.

How often should we hold them?

Many companies hold one every week, and some hold a short one every day. Your local regulations, your clients or your company’s safety program may say how often, so check those first. It also helps to hold one when the work or the weather changes, and after an incident or a near miss.

What records should we keep?

Usually the date, the topic, who led the meeting, who attended and their signatures. The meeting record here has all of that, plus the key points covered and any notes and hazards discussed. How long to keep records depends on your local regulations and your company procedures.

Do digital signatures count?

Each person draws their signature on the screen, and the record shows it with the time they signed in. The tool does not check anyone’s identity. Many companies accept records like this, but requirements vary, so check with your own safety program and with your clients before you rely on digital sign-in alone. When you need paper, print the sign-in sheet and have people sign it.

Do the talks follow the rules where I work?

The talks are general safety information in plain English, written for crews in any region. They don’t cite specific regulations, and they don’t replace training, your local regulations or your company procedures. Add your own site rules when you lead the talk, or write your own talks with Pro.

Where is my data stored?

Only in this browser on your device. There is no account, and your meetings, signatures and talks are never uploaded or synced to your other devices. Clearing your browser data deletes them, so download the PDF record of each meeting for your files. Browsers limit how much a site can store, so once you have the PDFs, delete old meetings to make room.

How does the PDF download work on a phone?

Download PDF opens your phone’s print screen. On iPhone, tap the Share button on that screen to save the PDF to Files or send it by email or text. On Android, choose Save as PDF as the printer.
